Charge/Goals
We discussed a review of the group’s charge and past and present goals. The stated charge of the group was deemed to be phrased accurately, with some suggestions for expansion. Draft additional text in yellow below incorporate suggestions:

To coordinate UCSD Libraries’ ongoing collection weeding and withdrawal projects, working collaboratively with Facilities and Database Management in support of the Libraries’ Collection Retention Policy. The group plans for collection growth and seeks to increase flexibility in the use of space allotted for collections, and serves as an advisory group for the AUL for collections.
In discussing the 2007/2008 group action items as published on the wiki
We determined that the first three are ongoing to the current fiscal year, and the final two dealing with SRLF planning are static action items that go on each FY. We also suggested adding the action item of establishing on the wiki a section devoted to pending/proposed Annex transfers [in/out] as well as tracking of current SRLF YTD statistics.
SRLF
SRLF shipments will not be sent via the SRLF courier service, due to new charges assessed by the RLFs. The assessment indicated that we will be able to send the shipments ourselves at a lower overall expense.
As part of the resources of the CMWG on our wiki, we will establish a link to current SRLF transfer statistics and make sure it is kept up to date. In addition we will establish two sections, one to list prioritized/planned shipment to SRLF for the current fiscal year and another for Annex Transfers.
Updates
Google processing continues and operations are wrapping up at IRPS with the final shipment sent out. Processing will return to the Annex for a “catch up” shipment of some additional material there before coming to Geisel for the East Asian Material on the fourth floor. Planning will be required to work around disruption of study space especially around exam periods during the fall term.
In order to benchmark the demand for material that has been subject to Google’s digitization project, Ryan has collected statistics on the circulation history of Google scanned material. This will be compared in a year, and then at designated intervals in order to assess the impact that mass digitization has had on the demand for the print copy. Hopefully this will serve as a useful tool for weeding decisions in years to come and may be the foundation for wedding of East Asian and IRPS collections once demand is clearly identified.
Mike Mogelinski informed the group that due to increased weeding in the tower additional bookends are required for shelves no longer filled to capacity. Mike will work with preservation on the acquisition of the appropriate number of bookends.
The security upgrade for the Annex as part of the overall special collections material transfer is under way, with installation of upgraded cameras and entry system to be completed shortly. The folding metal gates for the projected MSCL shelving are completed. MSCL is currently reviewing material for transfer and expect to box and start sending material over later this fall.
The group discussed the Shared Print initiative and the ramifications for collection management decisions. Martha was present for the group’s feedback.
SSHL weeding of the 6th floor is proceeding according to plan.
A demo with the iii representative for the Circa inventory software is scheduled for September. Ryan Finerty will join from this group and discuss results at our September meeting.
