CMWG Minutes

 

Wednesday 11/19/2008, Adcon Room

 

Present: K. Calkins, H. Colson, S. Dunlap, R Finnerty, D. Kegel, M. Hruska, R. Smith, J. Williams

 

We discussed that minutes for our September meeting were posted to the wiki, along with an updated section on proposed SRLF transfers remaining for the fiscal year. Also updated on the wiki are our charge and the action items for this fiscal year.

 

SRLF/Annex Transfers

 

We are continuing to assess expected transfers to SRLF for the remainder of 2008/2009. The SRLF YTD spreadsheet continues to indicate a quota of 32,000 for this fiscal year, and as of mid November we are 40% of our quota. This leaves some 19,000 items to transfer. Current plans to shift material to SRLF are posted here

After S&E and Biomed materials, the remainder of the quota will most likely be taken up by transfers from SSHL and IRPS.

A question was raised whether BML journals will count against the quota if they are considered contributions to shared print repository.

 

Updates:

 

Annex and Special Collections Project/Facilities update –Roger [Dennis out this week]

 

Preparations continue at the Annex for receiving MSCL material is designated/secure location. Upgrades are complete to swipe card entry system and digital video monitoring. Dennis is awaiting some reboxing/assessment of MSCL material in the front left corner of the first level of the Annex to complete the arrangement of materials that currently reside there. Dennis is driving SRLF transfers himself.

 

John Elmore provided a facilities update through Roger in Mike Mogelinski’s absence. Earlier concerns regarding overcrowding of the loading dock due to high volume of weeded material from MCL has eased, and space on the loading dock is not currently a significant concern. MCL weeding is nearly complete aside from some monographs.  Facilities staff/students continue to weed from the 6th floor in Geisel.

 

Tower Weeding –Sam reported that weeding of the 6th floor continues, and they are on track to be at 75% capacity. Weeding is ongoing on the 7th floor, and the 5th floor will be next. Rachel Pritchard will be doing the calculations for the 5th floor.

  

Shared Print –Martha briefly discussed issues with shared print initiatives. The intention is to focus on prospective collections rather than retrospective. Issue/page level validation will not be feasible and represents a substantial concern for the RLFs, and certainly the campuses.  It is hoped the RLFs can assign a three tier “grade” at the volume level.

  

Google –the Google settlement continues to impact our scanning plans, with an assessment under way if bulk pulling can be done at SIO in January, as East Asian material has slowed down/paused due to copyright restrictions on a high percentage of those items, anticipated to be resolved in early May.

 

We are continuing to benchmark circulation statistics for Google scanned material from our collections in anticipation of being able to make comparisons on material demand pre and post scanning for future weeding decisions.

 

Web Archiving –Roger reported that web archiving service is now live through CDL. A call for projects will go out shortly. Steve Coy and Annelise Sklar have worked with pilot projects on early versions of the software and have developed some expertise.
