S&E 2008
Goal:
Move out 40,000 volumes.
Timeline:
First trimester of 2008. Needs to be finished by April 30, 2008.
Coordinator:
Deborah Kegel
Background:
The Preservation Department needs to move into S&E because of the West Wing remodel. Facilities will build a room for them at the north end of the first floor. 28,000 volumes need to be moved out to make space for this new room; plus an additional 12,000 to provide swing space for the journal/mono split (according to Mogelinski).
Method:
Primarily targeting serials whose content is also online; CDL has license for forever access; we have locally format migrated to e-only. Note: Move older years for archives which were purchased more than 1 year ago and content (pictures and issues) is complete for core titles.
Serials: targeted Publishers include: ACM, APS, AIP (and AIP platform publishers with CDL license); JSTOR (up to 2000-2001), Springer, Elsevier-ScienceDirect; Taylor & Francis; Wiley-VCh
Review titles primarily from these publishers and make decisions to: Keep in S&E, Discard, send to Annex or SRLF. Runs may be split if electronic backfile has not yet been produced or purchased (or if older materials okay in storage). Some additional "Q, QA, QD" serial titles identified in summer of 2007 as relocatable with no electronic counterpart integrated into the project.
Monos to be moved to Annex and reviewed subsequently by S&E bibliographers (model after East Asia no/low use weeding project).
Criteria for monos to be moved to Annex:
Single volume monos—no conferences, no dissertations, no serial analytics
with item record created before x date, where x = last checked out date used in the search.
List 1: Monos not checked out since 12/31/1999 for math & mechanics LC call number ranges QA3-QA74, QA77-QA999; location = ek
List 2: Monos not checked out since 12/31/2002 for computer science LC call number ranges QA75-76.99 ; also TK5105.8… ; location = ek
List 3: Monos not checked out since 06/30/2001 for all the other S&E call number areas; location = ek
Processing:
Completed. Some followup needed on individual analytics for journals.
Some SSH Q journals needed new S&E style call numbers; compromise reached with Metadata & suggested call numbers id'd and given.
Comments & Updates:
After mono & serial titles identified and moved out of east wing, the collection was split into S&E journals and S&E books. Facilities moved shelving into new configuration and project completed summer 2008. In 1 year, over 55,000 S&E volumes moved to the Annex according to Schedule D statistics for 2007-8; most were sent in Spring 2008. Over 5000 volumes were discarded in lieu of SRLF.
