SRLF Duplicate Checking Through Connexion
This is a process to batch identify single-volume monographs in Roger that are duplicated at SRLF or UCLA by checking their holdings symbol in Connexion (the technical services side of WorldCat). Before this process can be started, the subject specialist needs to identify an area to be weeded, give criteria for volumes that can leave the collection (e.g. published more than 10 years ago and not checked in 10 years), and communicate this information to Database Management.
- Run a list of item records in MilCat Create Lists that are single-volume monographs and meet the criteria given by the subject specialist.
- Output the OCLC numbers in the 001 field to a text file and save the file to your PC.
- Using MS Word, remove all page breaks, remove all extra line returns, add 'no: to the beginning of each number, and remove the period at the end of each number.
- Add the following text to the end of each number " AND ( li:CLU OR li:ZAS )". You should end up with a file that looks like this:

- Open Connexion and create a new local bib file.
- Upload the text file of OCLC numbers by using Enter Bibliographic Search Keys under the Batch menu.
- Under the Batch menu, hit 'Process Batch', check the 'Online Searches' box, and then hit OK.
- Connexion will then search all the OCLC numbers in your file, only bringing back records that are either in SRLF or UCLA. This could take a while depending on how many numbers you are searching.
- Once all the records have been returned, open your local save file, and select all the records.
- Using a constant data record, add the following field to each record: 936 _9 SRLF/UCLA DUP--CAN BE WITHDRAWN
- Select all the records again and export them to a file. Save this file to your PC.
- Go to Data Exchange in MilCat, import your file, and pre-process it.
- Load your file of records using the 'm2btag.boclctest' load table. This will overlay our existing records on the OCLC number. There will be some records that won't overlay because of duplicate numbers or cancelled numbers in the 019 field. Resolve these manually.
- Subsearch your original list of item records to find the records that have a bib 936 of "SRLF/UCLA DUP..."
- Print out a pull list from this file and start withdrawing the books.
