5th Floor Weeding Plan (Summer 2009)

 

 

 

 

Our goal is to reduce the overall print footprint of the circulating collections in the Tower to 75%.  This will allow for shifting and stacks maintenance and, as we move toward the secondary goal of maintaining a steady-state collection, provide for ongoing weeding of the collections.  The next phase of the Tower weeding plan will focus on the 5th Floor.  Our goal is to reduce the number of print volumes in each area to the 75% figure. According to Rachel’s calculations below, the 5th Floor is at 80% capacity. Thus, rather than weeding 25% of the print collections, we will remove 5% to reach the 75% steady-state collection level.  Once this figure has been reached, the second phase of the plan will be implemented. The number of volumes being added to the collection annually will be matched by a corresponding number of volumes transferred out of the collection. Annual stacks maintenance will also occur during the summer months before the start of Fall Quarter.

There is one Excel spreadsheet for us to work with.  It is a breakdown of the 5th Floor by call number that shows the number of items acquired for the past three fiscal years, an average acquisition number, the total number of items in the call number range, the growth rate for that subject area, and the responsible collection manager.

 

 

 

Note: The “Reduce by” figure is the one that collection managers should work toward. This will allow collection managers flexibility within their subject classifications to weed, while at the same time providing for collection areas of growth to support campus needs.

 

 

 

 

Rachel’s Calculations for the 5th Floor

 

62 ranges = 1,454 sections

1,454 sections x 7 shelves per section = 10,178 shelves

10,178 shelves – 62 re-shelving shelves (one per range) = 10,116 usable shelves

1 shelf = 35 inches

35 inches x 10,116 shelves = 354,060 inches or 29,505 linear feet

 

29,505 linear feet @ 10 books (standard size) per foot = 295,050

 

295,050 items @ 100% capacity

236,015 items @ 80% capacity (current)

 

221,287 items @ 75% capacity (target)

 

For each subject area:

1.      Total # of items in that subject divided by total # of items on ck5 (236,015) = % of current footprint.

2.      % of current footprint multiplied by full capacity of ck5 (295,050) = full capacity of subject area.

3.      Full capacity of subject area multiplied by 0.75 = target # of total items for subject area.

 

 

4.      Current total # of items in subject minus target # of items plus # of items expected to acquire = target # of items to weed.

 

 

 

 

Weeding Plan

 

Metadata Services will generate Boolean lists for each call number breakdown and forward electronically to the appropriate collection manager, with copies to Kelly and Sam.  The first two lists will be generated based on these criteria:

1)      Single-volume monographs 10 years old or older, with no evidence of circulation.

 

 

2)      Single-volume monographs 10 years old or older, with no circulation in the last 10 years.

 

 

 

We should know how close we come to reaching our target by adding the figures from the two lists.  Our goal in this part of the phase is to remove the most volumes possible that have extremely low, or no, circulation.  In addition, collection managers should walk through their areas of responsibility and identify additional candidates such as outdated textbooks, manuals, editions, test guides, back journal runs, etc, for withdrawal.  Kelly, Ryan and Sam will track our weeding progress by call number.

 

 

 

Collection managers are encouraged to think creatively about other kinds of lists that we can run for the specific call number and subject areas to expedite the process.  In areas of interdisciplinary overlap such as general social sciences, economic history, socialism, etc, collection coordinators should confer with colleagues.  We should keep in mind UCSD’s historic strengths in area studies such as Latin American, Pacific Rim, and Melanesian, and current campus interdisciplinary interests including MMW, Sixth College, and Organized Research Units such as CRCA (Center for Research in Computing and the Arts), Calit2 (California Institute for Telecommunications and Information Technology), CCIS (Center for Comparative Immigration Studies), CISA3 (Center of Interdisciplinary Science for Art, Architecture and Archaeology), etc.

 

 

 

 

Our time frame for completion of 5th Floor weeding is by the end of summer, before the Fall Quarter begins on September 21, 2009.
